This page explains what happens to your email address if you give it to us on the Kotohi prelaunch page. It's short because we do very little with it.

Who is responsible (the controller)

There's no data protection officer, because we're a smaller team than the one that needs one. Write to the address above for anything in this notice.

What we collect, and only that

• Your email address, as you typed it.
• The fact that you consented, plus the date and time, the language of the page you were on and where the link came from. We keep this because we have to be able to show that consent was given.

We don't ask for your name. This page uses no cookies, no analytics, no advertising pixels and no third party scripts. It loads nothing at all from any other domain, which is why you didn't get a cookie banner. Our web server writes ordinary request logs (including your IP address) so we can keep it secure and work out what broke, and those get deleted after 30 days.

The visit counter

The counter on the page just says how many people have opened it. It sets no cookie and stores nothing in your browser. So that we don't count you twice in one day, the server mixes your IP address and browser with a secret that it forgets every night, hashes the lot and keeps a short piece of that instead, which nobody can turn back into an address, including us. All that survives is a daily total, and the other number is a count of confirmed subscribers. Neither one says anything about you.

The beta app, and usage data

The beta app is a separate thing from this page, and it can send us usage data, but only if you say yes. The first time you open it the creature's panel asks you, with a plain yes and a plain no. Until you answer, nothing is collected and nothing is sent. Saying no doesn't cost you any feature. You can change your mind any time on the app's own Privacy screen, and the switch takes effect immediately, including for anything still queued up to be sent.

If you say yes, what we get is: which screens you opened and when, how a study session went (how many cards, how long, how many were right), and what the pet did (scenes visited, animations played, time on screen). It never includes the text of your cards, your decks or your images. Where you've signed in, those events are stored against your address. On the public demo there's no account and no address to store them against. We use them to work out what to fix, and for nothing else. Your answer is remembered in your browser, so clearing site data resets it, and each browser you use will ask you again.

If you write to us from the app

The beta app has a feedback box, and anyone can use it, signed in or not. What we get is what you typed, plus the screen you were on, the build number and your window size, which is what lets us find the thing you're describing. Not the text of your cards, and not your IP address. We keep a message until we've dealt with it and the beta is over.

You can leave an email address there so we can answer you. That address is a reply address: it sits with your message and it does not put you on the mailing list. There's a separate tick beside it if you want the list as well, and that one works exactly like the form on this page — one email to confirm the address first, and an unsubscribe link in everything after it. Ticking neither is completely fine; the message is still read.

Why we're allowed to (lawful basis)

Your consent, Article 6(1)(a) GDPR, given by ticking the box on the signup form. Nothing else. We use double opt in, so your address isn't on the list until you click the link in the confirmation email, and an address that never gets confirmed is deleted after 30 days.

What we use it for

To email you when Kotohi launches on Kickstarter, and at most once or twice before that with real progress on the device. Nothing else. We don't sell, rent, share or trade your address, and we don't profile you or make any automated decisions about you.

How long we keep it

• An address that was never confirmed: deleted after 30 days.
• A confirmed address: until you unsubscribe, or until 12 months after the campaign ends, whichever comes first. Then it's deleted.
• A record that you unsubscribed (your address, hashed) may be kept, so we don't email you again by accident.
• A feedback message: until it's been dealt with and the beta is over. If you gave a reply address with it, that goes when the message does.
• Visit counter: the daily totals are kept indefinitely, they're just numbers. The bits used to avoid counting you twice get deleted the next day.

Who else sees it

Our own server and the service that sends the email. Both of them act as processors on our instructions.

Withdrawing consent

You can withdraw any time, and it's meant to be trivial: click the unsubscribe link at the bottom of any email we send, or email [email protected] and ask. Withdrawing is free, needs no reason, and takes effect immediately. We delete the address rather than flagging it. It doesn't affect any email we've already sent.

Your other rights

• Access: ask what we hold about you, and get a copy.
• Rectification: have a wrong address corrected.
• Erasure: have it deleted, see withdrawing consent above.
• Restriction and portability: available on request.
• Complain to a supervisory authority: you can complain to the data protection authority in your own country.
